Acc Int Class 2013 Assignment 1: Chapter Review 1

You all have been facilitated with ebook of Business Communication. In each chapter you can find Chapter Review. In Chapter 1 for example, the Chapter Review is in page 32.
Your task is to answer 1 question for 1 student. The question you have to answer is based on your last two digit of your student number. For example, question number 1 is answered by student with student number C1Lxxxxx01, ...., question number 15 is answered by student with student number C1Lxxxxx15, Since the number of questions in Chapter 1 is 15 questions, students with student number C1Lxxxxxx16 and so on should answer the question by the following formula: "last 2 digit of student number - number of question".
So, student number C1Lxxxxx16 should answer question number 1 (16-15), and student number C1Lxxxx39 should answer question number 9 (39-15=24, then 24-15=9). Hope it is clear.

    organizations. Which is more valuable to employees?

    in my opinion,everybody like to do something with simple way than hard way,that's employee thought,they are likely to do things with simple way..and i think that informal communication channel more valuable for them than formal channel communication because :
    1. in informal communication channels involve gossip,gossip happened if they know well the people they talking with..and from gossip we can see that the success percentage of receiving information is higher than through formal communication channel.
    2. in Formal communication channels,there are 3 systems..a)upward information flows b)downward information flows and c)horizontal information flow.. and in every information flow above,there are many rules..for example : ethics how to talk,send letter to your boss..

    conclution : the success in communication happen when the receiver can fully understand the information that sender's sent.. and from this case,i prefer that INFORMAL COMMUNICATION CHANNELS MORE VALUABLE than formal channels...
    based on reality,employee will get optimal communication when they are gossip

    Organizational communication has two functions are internal and external functions.
    Internal and external functions are:
    1. to Inform

    Internal communication includes communication superiors, subordinates and coworkers.
    1. Inform management of progress, develop new products and services, persuade employees.
    2. Persuade employees or management to make changes or improvements.

    Business communicators can overcome some of the obstacles are inevitable in the process of communication by way of:
    • Recognize that the entire process is sensitive and susceptible to breakdown. Half the battle in communicating successfully is recognizing that the entire process is sensitive and susceptible to breakdown.
    • Focus on receiver’s environment and frame of reference. Effective communicators must also focus on the receiver’s environment and frame of reference.
    • Anticipate problems. Like a defensive driver anticipating problems on the road, a good communicator anticipates problems in encoding, transmitting, and decoding a message.
    • Arrange ideas logically and use word precisely. Misunderstandings are less likely if you arrange your ideas logically and use words precisely.
    • Listening. A large part of successful communication is listening.
    • Useful feedback. Effective communicators create an environment for useful feedback, as well as encouraging listeners to repeat instructions or paraphrase ideas. As a listener it means providing feedback that describes rather than evaluates.

    Why are team decisions reached by consensus generally better than those reached by majority rule?

    Because Consensus is discussion continues until all team members have aired their opinions and ultimately, agree. It produces creative, high-quality discussion and generally elicits commitment by all members to implement the decision. Even if majority is group members vote and a majority wins. This method results in a quick decision but may leave an alienated minority uncommitted to implementation. So reaching group decision by consensus is better than reaching by majority rule.

    -In downward communication, the ones who involved are the decision makers (higher authority) to subordinates. The information include : order, objective, directive, policy,job plan, etc.

    -In upward communication, is the communication between non management employee to management ( feedback). The information include : report, complain to higher ups, suggestion, etc.

    -In horizontal Communication, this channel is involving the person with the same status in chain of command (ex. staff to staff). The information is including : share information, task coordination, office gossip,etc.

    Gossip is fun and entertaining, it encourage bonding and make us feels close who share our trust. But not all gossip is harmless, sometimes gossip is untrust worthy and unpromotable. It also can became evidance againts employers in supporting charges of harrasment or maintaining a hostile work environment. So we must might even argue that gossip is good because it can help people learn how to behave and how to respond to social miscues faster and less awkwardly than if they made the mistakes themselves.

    1. Formal Communication
    Formal communication is a process that is formal communication between two or more people that exist in an organization is based on principles - principles and organizational structure. There are three informal communication systems:
    • Downward is the decision-making to employees, sample policies, plans, strategies, instructions and procedures.
    • Upward is from worker to leader, an example of the employment report, the proposed improvements.
    • Lateral channels transmit information horizontally among workers at the same level. These channels enable individuals to coordinate tasks, share information, solve problems, and resolve conflicts. Horizontal communication takes place through personal contact, telephone, e-mail, memos, voice mail, and meetings.

    2. Informal Communication
    Informal communication is communication between people within an organization, but not planned or not specified in the organizational structure. Informal communication function is to maintain the social relationships of friendship informal groups, dissemination of information of a personal nature and such private issues, gossip, or rumors.
    Which is more valuable to employees ?
    If an employee in a company wanted to communicate with someone who has a higher position than the employee, then the employee is required to use formal communication. Because communication is more formal, polite and tend to provide more accurate information. But if by a fellow employee, to use informal communication. Because fellow employees require closer interaction and social nature.

    ● Attack rumors about yourself. Be aggressive and determine who originated the remark, if possible. Always follow with documentation explaining what really happened.

    Oral communication considered more effective than written communication because it minimizes misunderstandings because communicators can immediately ask questions to clarify uncertainties. Most of us enjoy face-to-face interpersonal communication because it is easy, feels warm and natural, and promotes friendships.
    Everyone doesn't use it exclusively because it produces no written record, sometimes wastes time, and may be inconvenient. In addition, conversations take more time because we find it difficult to stick to business.

    1. Formal comunication :Formal communication is a kind of verbal presentation or written information that precisely follows certain rules and is free of any slang language. Formal communication models used in the workplace include downward communication, where information moves from management to the lower level employees; upward communication where information moves from employees to management and horizontal communication where information is shared between colleagues in the office.
    2. Informal communication :Informal comunication is messages which are circulating on regulated, preset channels, of an organization are creating the formal communication. The content of the communication is related to the organization’s activity, to the work and to anything which is related to those. The formal communication can consist in verbal messages, nonverbal messages, written, under the shape of letters, telephone messages, radio messages, printed, internal notes. Even some gestures can consist in formal communication.     Law in question here is more to the copyright law, the concept of fair use, individuals have limited right to use copyrighted material without requiring permission.

    2. Telling The Truth
    Business person or ethical business communicators must tell the truth and does not deceive. If the fraud many executives flying businesses that have been imprisoned due to fraud. Being true to yourself is the foundation of ethical behavior.

    3. Labeling opinion
    Opinions are beliefs held with confidence but without proof. The statement can not be proven is an opinion, and opinions are expressed as if they are facts that are not ethical.

    4. Be objective
    Ethical business communicators recognize their own biases and try to keep them from distorting the message. The point is, we must act right here / in accordance with existing rules or are not concerned with their own ego.

    5. Communicating Clearly
    Should be able to change the message that complicated or hard to understand to be easily understood and must be done quickly. Law that requires businesses to write policies, warranties, and contracts in a language that is easily understandable to the average reader.

    What are the five steps in the comunnication process?

    The five steps in comunnication process is :

    Sender Has Idea
    The process of communication begins is sender has idea. In this process sender must have idea before open the communication with receiver.

    Sender Encodes Idea in Message
    The next step in the communication process involves encoding idea. In this steps senders converting the idea into words, expressions or gestures that will convey meaning so that the other person can understand what sender say.
    .
    Message Travels Over Channel
    Because communication process have verbal and nonverbal message. So In this step is about the medium over which the message is physically transmitted is the channel .Message may be delivered by handphone, memo, or face to face etc. So senders must chose the channel and shape the massage carefully.

    Receiver Decodes Message
    In this step of communication process is about receiver. Receiver is person who recieve the sender message. In this case receiver translating the message from its symbol form into meaning involves decoding.

    Feedback Travels to Sender
    The last step of communication process is feedback. The verbal and nonverbal responses of the receiver create feedback , a vital part of the communication process. Feedback helps the sender know that the message was received and understood.

    Why is written communication important in business?
    Because almost of all business transactions may involve a written message, writing skills are very important for the success of your business. Written communication produce a written record permanently. By the way writing out ideas instead of delivering them orally enables communicators to develop organized, with a written record also facilitate recall and understanding to the recipient. Written documents are also convenient and economically possible. They can be prepared and be read a second time on the schedule permits communicators, and they can be reviewed if necessary.
    Besides written communication also does not take much time because the individual didn’t meet face to face so it doesn’t interfere with a person's work,

    Why doesn’t everyone use it exclusively?
    Because with use the written communication can't see or hear one another and therefore can't provide immediate feedback. Written message also have drawbacks as it requires good preparation and good writing skills so that the message can be received well.     Communication skills have improtant role of an organization, especially for job effectivity, personal performances, career advancement and organizational success. How this communication skills shows what actually whole information that will engage with their goals. This skills include of two basic things, oral communications and also written communications.

    Here are the explanation :

    1. Oral Communication : similar with direct conversation, consist of more than one person, it might two or more persons. That directly speech and conversate with each other and deliver information as their main purpose.

    2. Written Communication : we can say that this is undirect conversation, or even using the technology as the mediator to actually help our communication with the person that far away from us. For example, it could be using internet, like social media, website or many stuff, to support the effectivity of our communication.

    Answer:
    From the book there are seven goals of ethical business communicators and I get some explanations that I can understand;
    1. Abiding the Law.
    It means that being a good business communicators needs to obey the law. Some people have have limited rights to use copyrighted material without asking permission, so be careful with selecting ideas because there are seveal restricted rules in business communication.
    2. Telling the Truth.
    A business communicator should be honest in telling and making statements, because several causes can go very mistaken if you try to lie. Therefore, being honest to yourself is important.
    3. Labeling Opinions.
    Business communicators have to understand about the difference between opinions and facts, because not all opinions can be considered as facts. Some people are very sensitive in knowing the difference between both of them.
    4. Being Objective.
    Being objective in this situation means, you have to use the business ethical in choosing the right statements. It has been told that being honest in reporting means elling the whole statements and all facts fairly.
    5. Communicating Clearly.
    The ethical of business communicators is that they have to write and speak clearly so that the receivers can easily understood. The chapter has told that using “plain english” which means using short sentences and simple words is required in businesses to write policies, warranties, and contracts so that average readers can clearly understand.
    6. Using Inclusive Language.
    Ethical business communicators use language that
    includes rather than excludes. They avoid expressions that discriminate against individuals or
    groups on the basis of their sex, ethnicity, disability, race, sexual orientation, or age. Language is discriminatory when it stereotypes, insults, or excludes people. You will learn more about how to use inclusive, bias-free language in Chapter 4.
    7. Giving Credit.
    A good ethical communicators give credits for the ideas and statements that they had used by mentioning the originators names within the text, using quotation marks which had been said by the originators, and documenting sources with endnotes,
    footnotes, or internal references . Stealing ideas and statements is unethical especially for business communicators.
