    Question Number 4

    4. How does profiling the audience help a business communicator prepare a message?

    Communicators must decide why they are delivering a message and what they hope to achieve. Although many messages only inform, some must also persuade. After identifying the purpose of a message, communicators must choose the most appropriate channel. That choice depends on the importance of the message, the amount and speed of feedback required, the need for a permanent record, the cost of the channel, and the degree of formality desired. so that they can tailor their words to the readers or listeners.

    Question Number 3 :
    What six factors are important in selecting an appropriate
    channel to deliver a message? What makes one channel richer
    than another?

    Answer :
    Whether to set up a meeting, send a message by e-mail, or write a report depends on some of the following factors:

    1. Importance of the message;
    2. Amount and speed of feedback and interactivity required;
    3. Necessity of a permanent record;
    4. Cost of the channel;
    5. Degree of formality desired;
    6. Confidentiality and sensitivity of the message.

    An interesting theory, called the media richness theory, describes the extent to which a channel or medium recreates or represents all the information available in the original message. A richer medium, such as face-to-face conversation, permits more interactivity and feedback.

    Question Number 7
    7. Why is it OK to use instant messaging abbreviations (such as BTW) and happy faces in messages to friends but not OK in business messages?

    Answer:
    Because in the business message, with the increasing use of instant messaging and e-mail, however, a major problem has developed. Sloppy, unprofessional expression appears in many workplace messages.

    In the business message using an expression like a really great, you know, and like, and the dependence on the stands need (BTW for by the way), make a noise like a teenage entrepreneur. Professional Messaging IM does not include abbreviations, slang, sentence fragments, and chatter. Then employers should be encouraged to strive for a warm, friendly tone that sounds professional, conversational tone that avoids the low level of diction.

    The recipient may not be aware of the meaning of abbreviations and in business emails these are generally not appropriate. The same goes for emoticons, such as a smile :-). That will allow you are not sure whether your recipient knows it means or not, and it should be better not to use it.

    Question number 1 : Why do you think business writing differs from school essay writing? (Obj. 1)

    Answer :

    The first thing you should recognize about business writing is that it differs from other writing you may have done. In preparing high school or college compositions and term papers, you probably focused on discussing your feelings or displaying your knowledge. Your instructors wanted to see your thought processes, and they wanted assurance that you had internalized the subject matter. You may have had to meet a minimum word count. Business writers, however, have different goals.
    For business messages and oral presentations, your writing should be:
    ● Purposeful. You will be writing to solve problems and convey information. You will have a definite purpose to fulfill in each message.
    ● Persuasive . You want your audience to believe and accept your message.
    ● Economical . You will try to present ideas clearly but concisely. Length is not rewarded.
    ● Audience oriented. You will concentrate on looking at a problem from the perspective of
    the audience instead of seeing it from your own.

    These distinctions actually ease the writer’s task. You will not be searching your imagination for creative topic ideas. You won’t be stretching your ideas to make them appear longer.

    Question Number: 2
    List the three phases of the writing process and summarize what happens in each phase. Which phase requires the most time?

    Answer:
    Three phases of the writing process are prewriting, writing, and revising.
    1. Prewriting includes anything you do before you actually begin to write.
    •Analyze: ask what the purpose of the message is and how the message is to be delivered (i.e. via email, letter, memo, presentation, etc.).
    •Anticipate: determine what type of audience will be receiving the message and how they are likely to react to it in order to determine the tone of the message.
    •Adapt: combines the analysis and anticipation stages. Adaptation is the process of creating a message that suits with audience.
    2. Writing is the process of supporting your topic and your opinion. You put down those points, including a brief introduction and conclusion.
    •Research: to gather any information, data, and facts that are needed to write the message.
    •Organize: use diagrams and outlines to help group similar ideas together and narrow the focus of the message.
    •Compose: first drafts are often written quickly and are in no way perfect, but they serve as a way to initially lay thoughts down on paper for future refinement.
    3. Revising means improving the content and sentence structure of your message
    •Revise: edit message to be sure it is clear, conversational, concise, and readable.
    •Proofread: always check for spelling or grammatical errors.
    •Evaluate: ask if the final product ended up suiting both the purpose and the needs of the audience.

    The third phase of the writing process (revising) is the most time consuming phase of writing process because it involves revising (45%) and proofreading your message (5%). During phase 3, you will revise the message for clarity, conciseness, tone, and readability; proofread for correct spelling, grammar, punctuation, and format; and evaluate the message to see if accomplishes your goal.
